SAIL Event Partners (SEP) – consisting of the Stichting SAIL Amsterdam (SSA), Havenbedrijf Amsterdam N.V. (HbA) and ACE Concepts & Events – and SSA respect your privacy. In the interest of complete transparency we have formulated and implemented a policy respecting the processing of personal data, allowing all parties involved to exercise their rights as effectively as possible.
This privacy statement sets out how SEP and SSA process the personal data provided by you, via our website or directly, to SEP and/or SSA or which SEP and/or SSA have received indirectly. This privacy statement is the only version applicable to the processing of personal data by SEP and SSA. Please give it your full attention. The statement may be adjusted periodically. The published statement on this website will always be the most recent version.

Which data are processed by us and why?
SEP and SSA process different types of data for different ends. The data provided to us via the website, for instance, is used to analyse the way visitors navigate the site. Personal data processing also takes place when you request information via the website, receive our newsletter, enter into an agreement with SEP for a package or event during SAIL Amsterdam 2020, or when you visit SAIL Amsterdam 2020 (perhaps as a guest of a third party who has entered into an agreement with SEP). SEP and/or SSA do not always process the same type of personal data in each of these situations. The following is a list of situations in which a certain type of data is processed:
Processing of personal data of visitors to the website
Until such time as you accept the use of cookies on the SAIL Amsterdam 2020 website, we will not place any analytical cookies and/or tracking cookies on your computer, mobile phone or tablet. The personal data gathered via the website will be used mainly by the website administrator to maintain contact with you and for processing an order, if applicable. Processing of personal data provided by you
If you want to join the SAIL crew, for instance as a volunteer, you can register via the site both in the run up to SAIL Amsterdam 2020 and during the event. For this we ask you to provide us with your personal data, including your name, address, date of birth, sex, e-mail address and telephone number. SSA has a legitimate interest in processing this data and needs the information from the registration form to provide all volunteers with the appropriate information, for scheduling purposes and to be able to respond. For SAIL Amsterdam 2020, SSA has gone into partnership with Deedmob who will use the information for the planning toolkit and will store the information until August 31 2020. None of the data will be shared with third parties. The data will be removed by Deedmob on the stipulated date. SSA retains the right to contact you on a one-off basis following the completion of SAIL Amsterdam 2020 in order to request your services for SAIL 2025. For this SSA has access to your name and e-mail address in full until June 1 2024. If you object to the above privacy issue (non-agreement), please contact vrijwilligers@sail.nl
You can pre-book certain SAIL 2020 packages via our website. For this we require data, including the name of the company, contact person information, an e-mail address and a telephone number. SEP has a legitimate interest in processing this data and may need it to execute the agreement it has entered into with you, for instance to contact you in connection with the arrangement and confirmation of packages and to maintain a relationship with you.
You can sign up for our newsletter via the website. For this we require data, including your name and e-mail address so we can send you the newsletter and maintain a relationship with you. SEP will process this data based on your permission which you can withdraw at all times by unsubscribing to the newsletter. [1]
Processing data not directly provided by you to SEP
In the case of agreements between another party and SEP as part of, or in connection, with a sub-event of SAIL Amsterdam 2020 organised by or on behalf of SEP, your data may be shared by this party with SEP. This would happen, for instance, if you visit one of the SAIL Amsterdam 2020 events as a guest of this party. In cases such as these SEP will process your name and e-mail address. SEP has a legitimate interest in processing this data for administrative purposes, to execute the agreement with the other party, to offer adequate service, and for the purposes of safety and efficiency.
During SAIL Amsterdam 2020 SEP (or parties contracted by SEP) will photograph and video the event and the visitors to the event. SEP has the right to use this material to market the SAIL Amsterdam event, or make this material public via the sail.nl website. SEP has a legitimate interest in processing this personal data for the promotion and marketing of SAIL Amsterdam 2020 and any future SAIL Amsterdam events.
SEP will not keep your data for longer than is necessary to achieve the above mentioned purposes. If legally obliged to retain the data for a longer period, for instance for tax reasons, SEP will do so in accordance with the legally prescribed retention term.
Sharing personal data with third parties
In order to comply with the execution of an agreement, a legal obligation of SEP and/or SSA for the execution of (part) of the SAIL Amsterdam 2020 event, SEP and/or SSA may have to share your data with other parties, to wit the captains of the participating ships. If the data is shared with, and processed by, third parties we will enter into a data processing agreement with them so the existing legal requirements regarding the processing of personal data are met.
If your data is shared with a third party outside the Netherlands and the European Economic Area we will implement all the necessary procedures to guarantee the safe transfer of the data. Please contact us by e-mail if you need more information on this issue.
YOUR RIGHTS WITH REGARDS TO YOUR PERSONAL DATA
You have the following rights with regards to the processing of your personal data by SEP and/or SSA:
- Right of access: you have the right to know if we are in possession of your personal data. You can request a copy of the data in question along with information about how we process this data
- Right of rectification of incorrect data; if the information processed by SEP is incomplete or incorrect you have the right to demand a correction or addition
- Right of deletion (subject to conditions)
- Right of limited processing of your data (subject to conditions): you have the right to request a limited use of your data in certain circumstances, for instance in the case of an ongoing investigation into a complaint made by you regarding an alleged incorrect registration of your data
- Right to object to the processing of your data
- Right to data portability, in case you have provided the data yourself. If applicable, you may have the right to receive a copy, or to have a copy sent to another company (in digital form), of the personal data provided to us by you.
To claim your rights, please send a request to info@sail.nl and/or info@saileventpartners.nl. You must include a signed copy of a valid ID stating an address where we can contact you. You will receive a reply no later than 1 (one) month of receipt by SEP and/or SSA. Depending on the complexity and the number of requests this term can, if necessary, be extended by 2 (two) months.
You may receive commercial offers as part of a direct marketing campaign by SEP. If you do not wish, or no longer wish, to receive such offers, please send an e-mail to this effect to info@saileventpartners.nl.
If you are unhappy with the way your personal data are being processed we will always try to come to a solution which is acceptable for both parties. Complaints and doubts about the processing of your personal data by us can also be presented to Dutch privacy watchdog Autoriteit Persoonsgegevens at www.autoriteitpersoonsgegevens.nl.
COOKIES
A cookie is a small text file that is transferred to the hard disk of your computer when you visit our website. A cookie contains data which will recognise the user of the website with every subsequent visit allowing for easier navigation.
No analytical or other tracking systems will be installed on your computer until such time as you accept the use of cookies and other tracking systems on your computer, mobile phone or tablet.
